Privacy
How I look after your information.
Who I am
OakPath Therapy is run by me, Dhiren Doshi-Smith. I’m the data controller, which means I’m responsible for your personal information, and I’m registered with the Information Commissioner’s Office (ICO). You can reach me on hello@oakpath.co.uk or 07899 895 011. I follow the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations.
What I collect
When you get in touch, I keep your name, contact details and anything you choose to tell me. Sometimes a GP, another professional or someone you trust gets in touch for you, and I keep what they share. If we work together, I keep your contact details and notes of our sessions.
Why I’m allowed to use it
While you’re thinking about therapy or having it with me, I use your information because it’s needed for our contract. After therapy ends, I keep it under legitimate interests. Anything sensitive you share, like information about your health, I hold because it’s needed to provide counselling.
Confidentiality
What you tell me stays between us. I’d only break confidentiality if I believed you or someone else was at risk of serious harm. I’d always try to talk to you and my supervisor first, but there may be times when safeguarding means I can’t.
How I store it
I’m as paperless as I can be. Session notes are kept on my tablet, protected by a password, with a further password on the file where needed. Anything printed is kept in a locked filing cabinet. I use professional software, two factor authentication and encryption. Texts aren’t kept for more than 6 months, and emails that aren’t important are deleted after 6 months. Anything relevant goes into your notes.
How long I keep it
If you decide not to go ahead, I delete your details within 28 days. Once therapy ends, I keep your records for 7 years and then securely destroy them. You can ask me to delete them sooner at any point.
Who else sees it
I don’t share your details with anyone, apart from suppliers I use to run the practice, like the company that hosts this website. I choose them carefully, and they have contracts saying they can only use your information for the job I’ve asked them to do.
Your rights
You can ask for a copy of what I hold about you, and ask me to correct it, delete it, limit how I use it or stop using it. I’ll tell you what I hold, where it came from, why I have it, how long I’ll keep it and who it could be shared with. Just email hello@oakpath.co.uk. If you’re unhappy with how I’ve handled your data, please tell me first. You can also complain to the ICO at ico.org.uk/make-a-complaint.
